How to Prep Your Print-Ready Files in 5 Minutes (And Avoid Delays)

The good news? Prepping your files doesn't have to be a headache. In fact, if you follow this simple 5-minute checklist, you can ensure a seamless printing process every single time. Here’s how to prep your files like a pro and avoid those frustrating delays.

1. The Golden Rule of 3mm Bleed

The most common reason for a print delay is a missing bleed. If your design has colors or images that go right to the edge of the page, you need to extend them slightly beyond the final cut line.

Why? Because in the real world of printing, machines aren't perfect. When we trim a stack of posters or leaflets, the blade might shift by a fraction of a millimeter. If your design stops exactly at the edge, even a tiny shift can leave a distracting white line around your print.

How to fix it in 60 seconds:

  • Always set your document with a 3mm bleed on all four sides.
  • Make sure your background images or colors stretch all the way to this outer line.
  • Keep your important text and logos in the "Safe Zone": at least 3mm inside the trim line: so they don't get accidentally clipped.

2. Switch to CMYK Color Mode

Contrary to popular belief, what you see on your computer screen isn't exactly what you’ll see on paper. Screens use RGB (Red, Green, Blue) light to create colors, while printing presses use CMYK (Cyan, Magenta, Yellow, and Black) ink.

If you send us an RGB file, our software will have to convert it to CMYK. This can lead to your vibrant neon greens turning into dull forest greens or your bright blues looking a bit flat. By designing in CMYK from the start, you take control of the final "vibe" and ensure your brand colors are spot-on.

Pro-Tip: If you’re using professional tools like Illustrator or InDesign, check your "Document Color Mode." If you're using Canva, make sure to select the "CMYK" option when you export for professional print. It’s a total game-changer for color accuracy!

3. Lock in 300dpi Resolution

There’s nothing worse than a blurry logo. If your images look great on your phone but "crunchy" or pixelated when printed, it’s likely a resolution issue.

Most web images are 72dpi (dots per inch), which is fine for Instagram but terrible for a large outdoor banner. For a crisp, professional finish, your files need to be 300dpi at the actual size they will be printed.

How to check your quality:

  • Zoom into your design at 300% on your screen. If the edges look jagged or blurry, they’ll look even worse in print.
  • Always use vector logos (.ai or .eps) where possible: they never lose quality, no matter how big you print them!
  • Avoid "stealing" images from Google; they are almost always too low-res for high-quality printing.

4. Export as a High-Quality PDF

While we can sometimes work with JPEGs or PNGs, they aren't ideal. They can flatten layers, mess with transparency, and lose detail. The industry standard: and our favorite format at the Zoo: is the PDF.

A properly exported PDF "packages" everything together: your fonts, your high-res images, and your color profiles. It’s the most reliable way to ensure that what we see on our screens matches exactly what you intended.

When exporting your PDF, remember:

  • Select "High Quality Print" or "PDF/X-1a."
  • Ensure "Include Document Bleed Settings" is checked.
  • Outline your fonts. This is a killer tip! Converting your text to "outlines" or "curves" means our computers won't ask for a font file if we don't have your specific typeface installed. It prevents your beautiful design from defaulting to Arial at the last second.
